Adding New Products

Product Information Requirements

Required Information:

  • Product name
  • SKU (Stock Keeping Unit - must be unique)
  • Weight (for shipping calculations)
  • Dimensions (L × W × H inches)
  • Description and category

Recommended Information:

  • • Barcode/UPC number
  • • Brand and manufacturer
  • • Cost per unit (for valuation)
  • • Country of origin
  • • HS code (for international shipping)
  • • Product images (up to 5)
  • • Storage requirements (standard/climate/refrigerated)
  • • Reorder point and quantity

Step-by-Step: Adding a Product

Method 1: Manual Entry (Full Details)

  1. 1. Navigate to Products

    Click Products in left sidebar, then "+ Add Product" button

  2. 2. Product Identity
    • • Product Name: Clear, descriptive name
    • • SKU: Your internal SKU (must be unique)
    • • Barcode: UPC/EAN if available
    • • Brand: Product brand name
    • • Category: Select from list or create new
  3. 3. Physical Specifications
    • • Weight: Enter in pounds or ounces
    • • Dimensions: Length × Width × Height (inches)
    • • Fragile: Check if requires special handling
    • • Liquid: Check if contains liquids
  4. 4. Storage & Handling
    • • Storage Type: Standard/Climate/Refrigerated/Hazmat
    • • Temperature Range: If climate-controlled
    • • Special Handling: Any unique requirements
  5. 5. Inventory Settings
    • • Track Inventory: Yes/No
    • • Track by Batch/Lot: For compliance products
    • • Reorder Point: When to get low stock alert
    • • Reorder Quantity: How much to order
  6. 6. Click "Save Product"

Method 2: Quick Add (Fast Entry)

For fast entry of basic products:

  1. 1. Click "Quick Add" instead of regular Add Product
  2. 2. Enter only: Name, SKU, Weight, Dimensions
  3. 3. Save and add detailed information later

💡 Tip: Use Quick Add when receiving new inventory and fill in details afterwards

SKU Best Practices

What makes a good SKU:

Good SKU Characteristics:

  • Unique: No duplicates ever
  • Meaningful: Provides useful information
  • Consistent: Follow same format
  • Scalable: Room for growth
  • Simple: Easy to type and read

SKU Format Examples:

Hierarchical Format:

SUPP-BRAND-VITA-D3-5000-120CT

(Supplement - Brand Name - Vitamin D3 - 5000IU - 120 Count)

Alpha-Numeric Mix:

VIT-123-D3-5000

VIT = Vitamin, 123 = Product line, D3 = Specific vitamin, 5000 = Strength

Category Prefix Recommendations:

  • • SUPP = Supplements
  • • PEPT = Peptides
  • • COSM = Cosmetics
  • • FOOD = Food products
  • • APPL = Applicators/accessories
  • • KITS = Product kits/bundles

Managing Duplicate SKUs

Important:

System enforces unique SKUs. You cannot create a product with an existing SKU. Import validation catches duplicates and bulk operations prevent duplication.

If you need similar products:

Option 1: Use Variants

Parent product with variants, each variant has unique SKU

Option 2: Create Related Product

Similar product with different SKU, link products for reference

Option 3: Merge Products

Go to Products → Tools → Merge, combine inventory and update references

Product Variants

When to Use Variants:

  • • Different sizes of same product
  • • Different colors or styles
  • • Different packaging options
  • • Different bundle configurations

Example: T-Shirt with Variants

  • • Parent Product: "T-Shirt"
  • • Variant 1: "T-Shirt - Small - Red" (SKU: TSHIRT-SM-RED)
  • • Variant 2: "T-Shirt - Small - Blue" (SKU: TSHIRT-SM-BLU)
  • • Variant 3: "T-Shirt - Medium - Red" (SKU: TSHIRT-MD-RED)

Each variant is tracked separately with individual inventory counts and reorder points

Product Categories

Hierarchical structure for organizing products:

Use for: Filtering, search, temporary flags, marketing campaigns

Tag Best Practices

  • Use lowercase for consistency
  • Separate words with hyphens (not spaces)
  • Keep short and descriptive
  • Standardize usage across team
  • Document tag meanings
  • Bulk tag for efficiency

Product Images & Media

Image Requirements

Technical Specifications:

  • • Formats: JPG, PNG, WebP
  • • Max file size: 5MB per image
  • • Recommended resolution: 1000×1000px minimum
  • • Aspect ratio: Square (1:1) preferred
  • • Background: White or transparent
  • • Max images: 5 per product

Image Quality Guidelines:

  • • Well-lit with clear focus
  • • Product fills 80% of frame
  • • High resolution for zoom functionality
  • • Consistent lighting across catalog
  • • Professional appearance

Uploading Product Images

Single Product Upload:

  1. 1. Navigate to product details
  2. 2. Click "Images" tab
  3. 3. Click "Upload Images" or drag and drop
  4. 4. Select up to 5 images
  5. 5. Drag to reorder (first image = main)
  6. 6. Click "Save"

Bulk Image Upload:

For multiple products, use naming convention:

SKU_1.jpg (main image)
SKU_2.jpg (second image)
SKU_3.jpg (third image)

Zip all images, upload, and system automatically matches to SKUs

Bulk Product Import

Import from CSV

  1. 1. Download CSV Template

    Navigate to Products → Import, click "Download Template"

  2. 2. Fill in Spreadsheet

    One product per row with all required columns

  3. 3. Upload CSV File

    Click "Upload CSV" and select your file

  4. 4. Map Columns

    System auto-detects, verify mappings are correct

  5. 5. Validation

    System checks for errors (duplicate SKUs, invalid formats, etc.)

  6. 6. Preview & Import

    Review first 10 rows, then click "Start Import"

Required CSV Columns:

  • • sku (required, unique)
  • • name (required)
  • • weight_lbs or weight_oz
  • • length_in, width_in, height_in

Optional CSV Columns:

  • • description, category
  • • cost, price, barcode
  • • brand, manufacturer
  • • reorder_point, reorder_quantity
  • • storage_type, hs_code

Import Limits & Guidelines:

  • • Maximum 1,000 products per import file
  • • For larger catalogs, split into multiple files
  • • Use UTF-8 encoding for special characters
  • • Numbers without currency symbols (12.99 not $12.99)
  • • Booleans: yes/no or true/false or 1/0
