How to Send Inventory to Our Facility

1Create an Advance Shipping Notice (ASN)

Log into your dashboard and create an ASN with details about the incoming shipment: SKUs, quantities, lot numbers, and expiration dates.

2Ship to Our Warehouse

Print the ASN reference number on your shipping labels. This ensures proper identification when your shipment arrives at our facility.

3Receiving Process

Our warehouse team will receive, inspect, and count your inventory within 1-2 business days of arrival. You'll receive email notifications at each stage of the receiving process.

4Inventory Goes Live

Once receiving is complete, inventory becomes available for order fulfillment and is automatically synced to your connected sales channels.

Stock Tracking

Real-Time Inventory Visibility

View your current stock levels for all SKUs in real-time from the Inventory dashboard. Stock levels update automatically as orders are fulfilled and new inventory is received.

Available Stock vs. Allocated Stock

Available: Units that can be used for new orders

Allocated: Units reserved for pending/processing orders

Inventory Locations

If you use multiple warehouses or storage zones, you can view stock levels broken down by location. Orders are intelligently routed to the nearest warehouse with available inventory.

Inventory Sync

Automatic Channel Synchronization

Inventory levels are automatically synced to all your connected sales channels (Shopify, WooCommerce, Amazon, etc.) in near real-time to prevent overselling.

Sync Frequency

Inventory updates are pushed to sales channels every 5 minutes. You can also trigger a manual sync from the Integrations page if needed.

Buffer Stock Settings

Set a safety buffer to prevent listing the last few units. For example, with a buffer of 2 units, when you have 5 units in stock, only 3 will show as available on your sales channels.

Batch & Lot Tracking

For healthcare and pharmaceutical products requiring Good Distribution Practice (GDP) compliance, 3PL SHIP provides comprehensive batch and lot tracking capabilities.

Track lot numbers, expiration dates, and manufacturing dates throughout the entire supply chain from receiving to order fulfillment.

Adjustments & Audits

Manual Inventory Adjustments

Make manual adjustments to inventory counts when discrepancies are found during cycle counts or audits. All adjustments are logged with timestamps and user information for full traceability.

Low Stock Alerts

Automated Reorder Notifications

Set custom reorder points for each SKU. When inventory falls below the threshold, you'll receive email and dashboard notifications to restock before running out.

Storage Requirements

Special Handling & Temperature Control

Specify storage requirements for temperature-controlled products (2-8°C refrigerated, frozen, ambient) and special handling needs (fragile, hazmat, high-value items requiring secure storage).
